With Access Controls, users can share access to a meeting based on its Associations, such as a project, program, or department. This allows users to use Associations as a tool to share instant access to a number of colleagues in a related area or effort.
Similar to Associations, Workgroups are also available in Access Controls as an option to share broad access to the team.
The access sharing will take effect when the meeting is finished and uploaded to Powow.
To set up Access Controls, Organization Admins can go to the Organization menu section.
Adding Members to Access Controls
- Login to Powow as Organization Admin and open Organization
- Select Access Controls
- Click any association or workgroup in the list
- Find the “+” key in the upper-righthand corner of the window
- In the popup, fill in required fields
- Full Name - choose one from the dropdown list
- Can View or Can Manage - choose one from the dropdown
- Click + to add more users. You can add unlimited users to this form
- Click Save
Navigate the list of users is Access Controls
From the list on the right of the window you can:
- Search users by the name
- Change access permissions: can view or can manage
- Remove the user
- Navigate pages of the given list or switch the count of rows per page

Workgroup Access vs. Association Access
In Access Controls Organization Admins can add users to the access list in four tabs: workgroups, projects, programs, and departments.
The only difference between Workgrous and other Associations in relation to Access Controls is that the Workgroup is set automatically when the meeting is scheduled. Associations, on the other hand, are set manually before or after the meeting occurs.

If you would like to hide a meeting from the rest of your Workgroup Access Control group, the meeting owner can activate the meeting privacy before the meeting starts (when it’s in “scheduled” status). |
There is a separation between Workgroup members and Workgroup Access Controls. Users can be members of various Workgroups in the organization, but membership doesn’t give access to all the meetings in a given Workgroup. The range of Workgroup permissions is listed here. |

Setting your meeting to private before adding Associations will prevent it syncing Access Controls, leaving Associations as a part of meeting properties for filtering but not sharing access with Association members. |
