Powow Google Calendar Integration Overview
A Google Calendar overbooked with meetings is typical in today’s working environment. With Powow integration to your Google Calendar, there’s no need to invite the agent to every meeting! Connect the integration and have Powow capture all your conference meetings scheduled in your Google Calendar - and you can exclude individual meetings from capture as needed. It’s that easy!
The integration gives Powow access to capture all your scheduled video conferencing meetings (whether with Google Meet, Zoom, WebEx, or other conferencing tools) that were added to or updated in your Google Calendar after the integration was enabled.
If you are not using Teams or Zoom integration: Powow requires dial-in information in the invite to attend the meeting with you - otherwise, we won’t be able to connect and record the call. |
If you’d like Powow to attend a meeting scheduled prior to the integration being enabled, you can update and save the details of the meeting in your Google Calendar (change the title, etc.).
Powow cannot attend any meetings in the past even after the integration is enabled (still no time machine!). |
Powow Google Calendar Integration is configured individually for each user in your organization. As with all other meetings you’d like to capture, Powow will join only meetings that you schedule using registered or aliased e-mail in your Powow user account.
This article will guide you through the process of connecting to Google Calendar.
Connect the Integration
You can quickly find the utterance in the diarization from where the Activities item is taken: all the items are highlighted. If you click the Activity item in the list, the diarization automatically scrolls to the relevant point in the meeting with a highlighted activity. |
Powow can connect to only one Google account at a time. |
- Login to Powow
- Click your avatar on the upper-right side. In the dropdown select Manage Profile
- Choose the Integrations tab
- From the list of integrations, pick Google Calendar
- Click Connect
- Login to your Google account
- Accept permissions - click Allow in a pop-up window
Connect Calendars
- After accepting permissions, you will be redirected back to the Powow webapp
- All calendars associated with Google account you logged in to will be now listed in the webapp
- Click Subscribe next to the relevant calendar to sync with it. You can subscribe to all the calendars to collect meetings from all of them or choose calendars from the list and leave others without syncing
From now on, Powow Agent will join all your scheduled meetings in Google Calendar! No need to invite an Agent to your calls - it will happen automatically.
Every time you make edits in your Google Calendar invites, changes will reflect in Powow Meetings. If you’d like Powow to attend a meeting that was scheduled prior to the integration being enabled, you can update and save the details in Google Calendar and the meeting will also appear in Powow calendar. Removing the event from Google Calendar will also result in Powow's calendar meeting removal. Mind that editing meeting details in Powow, switching applications, or changing dial-in information, won’t affect Google Calendar.
By Google specifics, after edits applied to the event in GCalendar, it's being replaced by a brand new event making the old event removed. This process also mirrors the Powow calendar, which means that all settings applied to the planned Powow meeting void with its GCalendar edits. |
Aliases
If you want to connect a Google Calendar with an email other than what you registered in Powow, you will need to set up an email alias in order to have Powow join.
- Login to your Powow account and open Manage Profile
- Scroll down to Access section and choose Email Aliases
- Click Add and insert the e-mail address that you are using for Google Calendar integration
Once you have done these steps and connected the Google Calendar (doesn’t matter in which order), you can schedule events in your Google Calendar and do not worry about inviting Powow, it will sync with your calendar and join automatically to all conferencing platforms that include dial-in.
Exclude Meetings from Automatic Syncing
Tagging meetings with keywords will prevent it from syncing with Powow calendar. Any word you will add to Tags can also be added to the meeting title in Google Calendar - these meetings will not be recorded by Powow. Note that tags are key - insensitive, as long as the word or symbol you tag is the same (no square brackets or commas included and is spaced from other words and symbols in the title).
- Click Add to create a new Tag
- Type a word or symbol in a pop-up window
- Click Save
- To remove Tag from the list, use X next to each Tag. After removal, meetings with a title that contains this word or symbol will be captured again
Disconnect Google Calendars
Should you have a reason to stop syncing Google Calendar meetings with Powow, you can do it in two ways:
- unsubscribe from a Calendar
- disconnect the Integration
If you choose UNSUBSCRIBE, all scheduled meetings will be removed from Powow calendar. All previously captured and submitted to the webapp meetings will remain in Powow. Meetings from calendars with an active subscription will remain in Powow calendar and be recorded without changes.
Note: if you unsubscribe from the calendar and subscribe again, previously scheduled meetings won’t be synced. Only new meetings will appear in Powow.
- Login to Powow
- Click your avatar on the upper-right side. In the dropdown select Manage Profile
- Choose the Integrations tab
- From the list of integrations, pick Google Calendar
- Find the calendar you wish to stop syncing with and click Unsubscribe
- In a pop-up window, confirm your choice
If you decide to DISCONNECT the integration with your Google Account, all the calendars will unsubscribe automatically. All finished and submitted to the webapp meetings will remain in Powow.
If you wish to connect a different Google Account to Powow, disconnect first and then repeat connection steps and login to the account that you wish to connect. Make sure the e-mail is registered or aliased in Powow.
Note: after disconnect, all the settings of the current integration will be removed including Tags and subscribed calendars.
- Login to Powow
- Click your avatar on the upper-right side. In the dropdown select Manage Profile
- Choose the Integration tab
- From the list of integrations, pick Google Calendar
- Click Disconnect
- Confirm in a pop-up
Workgroups
If you often work with more than one Workgroup, you need to know that meetings will appear in a Home Workgroup that is set in your profile settings. This means that if you switch your Home Workgroup, new meetings scheduled in Google calendar will also move to a new Workgroup. Old meetings will stay in a previous Workgroup.
